As of January 1, 2017, the medication management training and record keeping services provided by the VCU Department of Gerontology under the contract with the Virginia Department of Social Services (Division of Licensing Programs) changed for both trainers and trainees. 

  • For trainees: The cost for a medication aide certificate is $15. Trainees will need to clarify with their trainer if this fee is included in the training fee or if the trainee is responsible for this fee. 
  • Trainers will now only be approved for 1 year and will need to renew their training certificate by March 31st of every year. This change is made to help us maintain an accurate and up-to-date database of trainers.
  • If an individual is currently an approved program provider with the Board of Nursing for the 68-hour medication management training curriculum required in licensed assisted living facilities, the trainer application fee is $30. If the individual is not currently approved by that program, the trainer application fee is $40. The annual trainer renewal fee is $20. 
  • Any new trainer approved between January 1st and March 31st of any calendar year will not have to pay a renewal fee until the following year.

Information for Trainers

Initial Application:

To become certified as a Trainer for the 32-hour Medication Management curriculum, you must:

  • Complete a trainer form
  • Have proof of licensure (copy of license) as a physician, pharmacist, or nurse (this can be attached to online trainer form)
  • Have evidence of successful completion of a train-the-trainer course conducted by an approved Trainer (copy of the signed certificate can be attached to online form) 

        OR 

  • Approval from the Board of Nursing authorizing you to teach the 68-hour curriculum (this approval letter can be attached to online form)
  • Payment of $40 - you will be redirected to payment page after completion of the trainer form. The fee for trainer registration is $40. If you have an approval letter from the Board of Nursing, you can request a $10-off coupon at agingstudies@vcu.edu
  • PLEASE NOTE: once you submit your form, please do not resubmit another one. If you are redirected to payment page, your form was submitted properly. If you have any questions about if your form was received, please email us at agingstudies@vcu.edu
  • If you are NOT immediately redirected to payment page, please click the following link.

Please allow 10-15 business days for your certificate to be EMAILED to you. 

*Medication Management trainer certification must be renewed ANNUALLY on or before March 31st.

  • A completed trainer form

Following Training:

Upon completion of medication management training the following is required for certification:

  • A complete Medication Aide Form signed by the instructor 
  • A complete Trainee Task Record form signed by the student and the instructor (this can be attached to online medication management form)
  • Payment of $15 - you will be redirected to payment page after completion of the Medication Aide Form.

*The Virginia Department of Social Services requires the completion of a refresher course every three (3) years. Please contact your facility for further information regarding this requirement.
